If so, we are seeking a Permanent Part-Time mature, and reliable Accounting/ Office Administrator with min 2+ years of experience working within Office Administrative Role or any similar related industry (ex. Admin Office role, Rehab Clinic, Spa, Salon, Hospitality) that is able to organize and coordinate our studio’s office operations and procedures in order to ensure organizational effectiveness and efficiency in a high paced-traffic environment.

We are looking for someone who is detail-oriented, hard-working, and organized. This person must also have excellent written English skills, the ability to solve complex issues, works efficiently and accurately and loves being around people.

REQUIREMENTS:

  • Reports to the Fitness Director & Owners
  • Accounting & QUICKBOOKS Software & skills is a must!
  • Delegates duties to a team of Front Desk Customer Service Staff
  • Performs shift of work 9:30 am to 5:30 pm (Mon, Tues & Thursday) = 20-24h p/week to start
  • Must be able to work in a fast pace and energetic work environment
  • The ideal candidate must possess excellent organizational, business & people skills
  • Must possess outstanding phone manners and be able to multi-task and work until the job is done
  • Candidates must have personal transportation/vehicle to be considered

JOB DESCRIPTION:

  • Must be proficient and have experience in using QuickBooks Accounting Software & Microsoft Office (for Invoicing, Issuing Quotes, Billing, ACCT-REC/PAY) Please do NOT apply if you have never used Quickbooks.
  • PAYROLL: Must have experience preparing basic payroll using the above software (or any other related software) and be responsible for any staff timesheet corrections. *Training will be provided for this but QuickBooks knowledge is required*
  • MANAGE INVENTORY: Order supplies and Pro-shop inventory of supplies as needed
  • CONTRACT DATA ENTRY: Responsible to sign off on daily data entry for all client contracts when completed, provide audits for all staff contracts inputting into sales database
  • PROVIDE COMPANY STATS: (scheduling, sales, renewals, retention, client attendance history all using our CRM program Mindbody)
  • ACC/PAY & DELINQUENT/COLLECTIONS: Responsible for handling/ contacting members of due amounts, expired credit cards, forwarding non-collectibles to the collection dept. Communicate info between staff, Moneris merchants, vendors, and mgmt.
  • INPUT RECEIPTS TO QUICKBOOKS: On a monthly basis organize and input all company expenses into Quick books.
  • PEOPLE SKILLS: Must have amazing people skills and can get along with different personality types & handle/manage customer service escalations
  • NEW CUSTOMER REQUESTS: Respond to incoming emails and calls regarding all services activities such as setting up service agreement documents, booking/hiring
  • HIRING & STAFF REQUESTS: Assist the Fitness Director/Owners in recruiting activities such as creating job postings, openings on various job boards, conducting email, phone, set up appts & share relevant information and documents to potential staff upon hiring, and updating staff list to reflect new hires.
  • STAFFING: Gathering feedback from staff and clients on a quarterly basis and providing to owners and management
  • Punctual track record, Problem solver, have excellent English, verbal and written communication skills


COMPENSATION:

– Hourly based on experience, # of hours, seniority, & performance
– PMF Loyalty Bonus after 12 months

MEDICAL COVERAGE: (annually upon completing 10 months)

FITNESS & WELLNESS PACKAGE
-Two ½ hour 1on1 Body Type Specific Personal Training Sessions with a Fitness Coach

-12 MONTH Cross-Training Membership provided complimentarily (Includes monthly body composition statistics, Program design session, Access to all Strength & Cardio Equipment & once past 6 months provided with 1x month Semi-Private Training Session (value of $1800 p/year)

FRONT DESK CUSTOMER SERVICE

The first face, voice and often interaction with any business is deal with and handled by the Front Desk Customer Service representative. This role is meant for someone that is Experienced, Organized, Energetic, Charming and Understands How to Service Affluent Clientele.

We provide our services in 3 ways: Fitness Studio, Online & In Home Coaching.  We have been changing the lives of people all across the city since 2006!

JOB DESCRIPTIONS:

  • Be Punctual for AM openings, professional and responsible as you will need to either open or close the studio

. Spray, Disinfect and assist with daily studio sanitization cleaning duties (wearing gloves, & protected behind Full reception safety plexi glass)

  • Answer a multi-line phone systemefficiently and quickly with clear professionalism.
  • Perform DAILY communication outreach, daily booking / confirm appts, making shakes & providing tours

. Perform DAILY Admin: Take Gym payments, print out invoices, confirmation calls to Clients, Contract data entry

. Perform routine floor checks to ensure members are taken care of and the studio is tidy & stocked

  • Maintain and replenish office supplies, pro shop inventory & perform gym floor/change room spot checks with towel service

 

QUALIFICATIONS:

· Must be VERY OUTGOING, NEAT, TIDY & enjoy dealing with people all-day

. At least 1–2-year experience working as a Receptionist/ Customer Service/Hospitality Industry

. Must enjoy fitness & exercise and want to participate/ work out 2-3x week at our studio

  • Must have access to a vehicle and be able to open or close the studio 
  • Possess Excellent telephone skills and professional English etiquette. Know how to handle affluent clientele and provide exceptional customer service

.Must be proficient with Microsoft Suite (Outlook, Word, Excel, Google Docs etc.)

  • Must be able to multi-taskin high-pressure situation-and have experience working with clients in close contact or interactive situations/environments

FLEXIBLE SCHEDULE AVAILABLE:
( openings + evening closing + 1 weekend shifts p/wk)

FITNESS SALES ADVISORS:

  • Individuals, who are already certified fitness trainers and have been training for more than 2 years in with experience and valid exercise science-based certification who can easily approach the public in outreach opportunities
  • Someone that actively recruits and provides Fitness Assessments to “new members” and has a strong understanding on how to provide body composition assessment, functional/movement screening and understands how to listen to members requests
  • Are business savvy entrepreneurial-minded people who understand the value of building relationships with clients, love a challenge, achieving monthly KPI targets, networking and performing local community outreach.
  • Directly in charge of promoting the studio and its services to members of the club, externally, through social media, Corp Wellness & local business outreach
  • Highly energetic coaches that enjoy and physically capable of both coaching some clients during the week and consulting in the sales advisor role.

WHAT YOU CAN EXPECT IN THIS ROLE

  • Provide fitness consultations with potential new members; performing body composition assessments, functional movement screens, and practical exercise sessions /classes
  • Touring potential members around the club, educating them on how we can support them toward achieving their overall health and fitness goals
  • Conduct daily outreach with new, existing members and securing effective member referrals.
  • Daily budgeted hours dedicated to outgoing lead generation both internal & external, prospecting and monthly member workshops
  • Provide price presentations in person to members, email proposals daily and take part in off-site networking events or company fitness demonstrations
  • Works closely with all Fitness Coaches to ensure that processes are fulfilled, programs being followed

 

COMPENSATION PROGRAM:

  • Provided an hourly base per month to start (grows with seniority & performance)
  • Bonus pay commission for all NEW sales & deposits at achieved monthly milestones targets

REQUIREMNTS FOR POSITION:

  • Must be certified as a Personal Trainer/Coach through CSEP, CPTN, ACE, ISSA, DTS Lev1, PN Certified or possess other valid creditable certification (Can fit Pro is not considered as mid – intermediate level certification)
  • Background in Kinesiology, Fitness & Health promotions, and Fitness Sales is an asset.
  • Possess Current CPR & First Aid Cert
  • Previous sales experience, with strong sales skills and proof (experience working in a sales quota bearing structure highly preferred)
  • Strong communication and interpersonal skills, must have strong computer and social media skills
  • At min 2 years of fitness experience, this is a senior position, which requires experience with all ages & fitness levels, therefore, cannot mentor inexperienced candidates
  • High degree of knowledge and understanding of the Anatomy, what Somatotype refers to & Functional Training
  • Be able to work flexible midday to, pm & 1 weekend shift
  • Have full-time access to a vehicle and be able to commute to work
  • Excellent team player and the ability to work independently
  • Excellent communication and customer service and phone skills

 

Availability – must be able to work 25-30 hours/week including weekends and evening till 10 pm.
